Our policies and practices 

As an associate member of COPE, Edanz supports the current industry standards in publication and research ethics. We practice this commitment through transparent and ethical services, as well as offering guidance to authors should an ethical issue arise with their manuscript.

Yes, we can edit references, but only if you ask us to; it is not part of our normal editing service.

References will be edited for compliance with the correct format. Edanz editors will not rewrite the actual format between, for example, Harvard and Vancouver styles if the author has used the wrong one.

Reference management software makes this an easy job for the author. However, Edanz does not edit citations or references generated by reference management software such as EndNote or Mendeley because any changes would be overwritten if the citations or references are regenerated later.


Reference editing includes:

  • Correct spelling and punctuation as per target journal instructions
  • Adjust typography (e.g., bold, italics) as per target journal instructions
  • Correct spacing, replace Asian characters, correct Journal title style
  • Adjust number of author names in references as per journal requirements
  • Check that in-text reference style is correct

Reference editing does not include:

  • Change reference order from numerical to alphabetical or vice-versa
  • Research and insert author names when they are missing
  • Alphabetize references by author name
  • Check the existence, accuracy or validity of the citation

Figure files

If necessary for editing, or if they would be useful as a guide for the editor, please send us your figures. If they are large, consider sending us a low resolution version (we can only receive files up to 5MB). We can receive PDF, JPEG, PNG, GIF, and TIFF files.

The Edanz guarantee

The English language editing that Edanz’s expert editors do will improve the chances of your manuscript being accepted for publication. However, we cannot “edit” the research content of your manuscript: this is something for peer reviewers to comment on. Therefore, while we cannot make any guarantees regarding the publication of your research, we can guarantee that we will get your manuscript into the best possible condition for submission to a journal for peer review.

Privacy and security

Edanz follows a professional code of ethics and has instituted measures ensuring the confidentiality and security of the manuscripts and all documentation sent to us by our clients. All Edanz Editors, Staff and Directors sign Confidentiality agreements with Edanz.
Your personal information and manuscript data are never shared beyond your assigned editor and the in-house Edanz staff. Edanz secures its networks and communications with the latest encryption software and hardened operating systems. We employ the best tools available and our systems are monitored and audited to keep your data safe during every stage of its journey. For more information see our Security and Privacy Policy.

Payment can be made after we have completed your order and you have downloaded your files.

If you are paying by credit card or PayPal

  1. Add your services to your cart and click the checkout button.
  2. Complete all required fields.
  3. On the payment screen, choose ‘Pay with PayPal’. This lets us know how you will pay, but you will not be required to pay until we have completed your order.
  4. Next you will be prompted to upload your files and review your order.
  5. If all details are correct, choose 'Accept' and click 'Submit'.
  6. Our customer service team will review your files and contact you by email with an invoice and payment details. We accept payment at this stage. Alternatively, you may wait until we have completed your order to make payment.
  7. We will contact you by email when your files are ready for you to download.
  8. If you have not yet paid, please follow the instructions in this email to complete payment by Paypal.

Yes, Please follow the steps below to access printable invoices / receipts:

1. Log in to your Edanz account and navigate to 'My Account'.

2. Click on the 'Orders' tab to show your current and previous orders.

3. Click on the order you would like to recieve an invoice/receipt for.

4. A link to open a window with a printable invoice / receipt will be displayed near the top of the page.

We have three delivery speeds to meet your needs. You can choose from one of our delivery options during the checkout process.


Standard - 3 days

We will return manuscripts of ≤7,500 words within 3 business days.
For manuscripts over 7,500 words, we need an additional day for every additional 7,500 words.

If we receive your ≤7,500 word manuscript by 17:00 Japan Time, we will return it to you by 20:00 Japan Time 3 business days later.


Semi-Express - 2 days

We will return manuscripts of ≤7,500 words within 2 business days.
For manuscripts over 7,500 words, we need an additional day for every additional 7,500 words.

If we receive your ≤7,500 word manuscript by 14:00 Japan Time, we will return it to you by 18:00 Japan Time 2 business days later.

Fees: 25% more than standard fees.


Express - next day

We will return manuscripts of ≤7,500 words within 1 business day.
For manuscripts over 7,500 words, we need an additional day for every additional 7,500 words.

If we receive your ≤7,500 word manuscript by 14:00 Japan  Time, we will return it to you by 18:00 Japan Time the next business day.

Fees: 50% more than standard fees.

File types

For editing/rewriting, we accept all Microsoft Word formats, as well as Open Office and Latex. For figures, please send us PDF, TIFF, JPG/JPEG or PNG. We do not accept AI files.
